1. Data controller

Trueben (sole proprietorship, Dutch Chamber of Commerce number 98842137), registered in Rotterdam, the Netherlands, is the data controller for the processing described in this policy. Trueben also uses the brand name Rubotics.

2. What data we collect

• Name, email address and phone number (via contact form or order form)
• Company name and website URL (when ordering)
• Payment data (processed by Stripe, not stored by us)
• IP address and browser data (via Google Analytics, only if you consent to it)
• Cookie preferences

3. Retention periods

• Invoicing and payment data: 7 years (legal requirement)
• Project data: duration of the agreement plus 1 year
• Contact form messages: maximum of 2 years
• Analytics data: a maximum of 14 months (the retention period set in our Google Analytics account)

4. Legal basis

We process personal data on the basis of: performance of the agreement (order and project data); legitimate interest (improving our services); consent (analytics cookies).

5. Sharing with third parties

We share personal data only with the following parties, and only to provide our services: TransIP (hosting of trueben.nl and its forms); Stripe (payment processing); Supabase (database); Google Analytics (website analysis, only with your consent); the client's hosting provider (only with the hosting setup service).

Stripe, Google and Supabase may also process data outside the European Union, including in the United States. Which GDPR safeguards they use for this is in their own privacy policies.

We do not sell personal data.

6. Cookies

trueben.nl keeps two things in your browser storage (localStorage, not cookies; always on): cookie-consent, your analytics choice, and trueben-style-preset, the display style you pick yourself. Preview pages also keep preview-comments-*, your own comments; those comments are also sent to our server so Trueben can read them (see section 9). Your choice and your style do not leave your browser. We use Google Analytics 4 cookies (_ga and _ga_KT162TYSVY, valid for up to 2 years) only with your consent. Google Analytics loads only after you click "Accept": until then no request goes to Google and no analytics cookie (_ga) is set. You can withdraw consent at any time via "Cookie settings" at the bottom of every page. Our fonts (DM Sans, JetBrains Mono, Orbitron) are hosted on our own server, so your browser makes no request to Google for them. We use no marketing cookies, and Google signals and ad personalisation are switched off.

7. Security

We take appropriate technical and organisational measures to protect personal data. The website uses HTTPS. Payment data is processed only by Stripe and never reaches our servers.

8. Your rights

Under GDPR you have the right to access, correct or delete your data, to object to or restrict processing, and to receive your data in a portable format. Send your request to info@trueben.nl. We respond within 30 days.

9. Temporary preview hosting

During the review phase of your project, trueben.nl may temporarily host your website on a secret path under trueben.nl/en/preview/. We act as a processor here; the terms for that are in module A of our general terms. The preview page is shielded from search engines and is reachable only via the direct link.

Data processed in this phase: the content of the preview site, any feedback comments left by you or your invitees via the feedback panel, and technical logs (IP address, useragent, timestamp).

Retention of preview data: a preview is meant for 14 days from the date it is placed. After that Trueben takes it offline and removes the preview files and associated feedback comments. Earlier removal on request. Send your request to info@trueben.nl.

10. Complaints

If you have a complaint about the processing of your data, contact us at info@trueben.nl. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
